Data transfer format: MONICA survey data
|
|
© National Institute for Health and Welfare
and the MORGAM Project investigators Last updated: 31 October 2007 For more information, please contact Kari Kuulasmaa (firstname.lastname@thl.fi) |
The purpose of this transfer format is to provide an exact and common format for the MORGAM Participating Centres (MPCs) to transfer the baseline data for the items specified in the MONICA survey data record to the MORGAM Data Centre (MDC). Data in the format specified here should be submitted to the MDC for every member of each MORGAM cohort. The members of the cohort are defined in section "Definition and selection of cohorts". The data should be sent through e-mail, not on paper forms.
For the cohorts which were investigated in the WHO MONICA Project, the MDC can extract the data directly from the MONICA Archive, if so agreed with the MPC.

The record format is ASCII fixed length and record size is 164 characters. The position of each data item in the record is given in column "COLUMNS" of this data transfer format. There should be one record of data for every member of each MORGAM cohort.
This format corresponds with the layout of the information on the electronic data file which is transferred, and need not correspond with the format of locally used paper forms or electronic files. Instructions for transferring the data are given in section Data communication between the Participating Centres and the MDC. To avoid errors, special attention should be paid in extracting these data items from the local data set. From item MARIT onwards the data transfer format is identical with the MONICA Data archive format - survey core data, version 8.
The ITEM NAME on the document is a computer variable name used for the item by the MDC.
Blank fields are not allowed in the record.
Instructions for making corrections to data that have already been sent to the MDC are given in section Data communication between the Participating Centres and the MDC.
Please contact the MDC for instructions if you cannot provide information as specified in this document or if you have any problems with the interpretation of the coding for any specific items.
Many of the data items should be extracted from the local baseline questionnaire data. If your baseline questionnaire did not have such questions, but similar information can be extracted from your local data, extract them in such a way that the codes converted from your local data correspond to the codes given here as closely as possible. Send to the MDC:
Contact the MDC for instructions if you have uncertainty about your conversion.
This transfer format is very similar to version 7 of the MONICA Core data transfer format - survey data (Form 04). For versions 3 and 6 of the MONICA data transfer formats, which were used in the initial and middle MONICA surveys, the conversion to the MORGAM format is not straight forward. The MDC has drafted a conversion rule, which you can find in the document Conversion from MONICA Survey core data to MORGAM Form 20.
Follow these instructions carefully when creating a computer file for the data transfer from the MPC to the MDC.
| 1 | FORM | Form identification | |_2|_0| |
Number 20 indicates the Data transfer format: MONICA survey data.
| 2 | VERSN | Form version | |_4| |
Enter the version number from the heading of the "Data transfer format: MONICA survey data" which you are using. If the version number of the data transfer format which you are using is not "4", these instructions do not correspond to the format you are using. Check that you are using the valid version of the format.
| 3 | CENTRE | MORGAM Participating Centre | |__|__| |
Enter the official MORGAM Participating Centre Code number as it appears in the table "MORGAM Participating Centres and cohorts" at URL: MPCs.
This is a key item used for identifying the record and merging it with other records on the same individual. Please make sure that the item is coded correctly in every record.
| 4 | RUNIT | MORGAM Reporting Unit | |__|__| |
Enter the official MORGAM Reporting Unit code number as it appears in the table "MORGAM Participating Centres and cohorts" at URL: MPCs.
This is a key item used for identifying the record and merging it with other records on the same individual. Please make sure that the item is coded correctly in every record.
| 5 | COHORT | Cohort identification within the RUNIT 01 = MONICA baseline survey 02 = MONICA middle survey 03 = MONICA final survey 21, 22... other cohorts |
|__|__| |
Enter the official MORGAM cohort code number as it appears in the table "MORGAM Participating Centres and cohorts" at URL: MPCs.
Codes 01, 02 and 03 are reserved for the cohorts defined by MONICA population surveys. Codes 21, 22 etc. are reserved for other cohorts.
This is a key item used for identifying the record and merging it with other records on the same individual. Please make sure that the item is coded correctly in every record.
| 6 | SERIAL | Serial number | |__|__|__|__|__|__| |
Enter here the serial number of the individual. This number consists of six digits. Each serial number must be unique within each Cohort (COHORT) of each MORGAM Reporting Unit (RUNIT). Different MORGAM Reporting Units and different Cohorts may use the same serial numbers.
This is a key item used for identifying the record and merging it with other records on the same individual. Please make sure that the serial number is correct.
| 7 | EVENT | Irrelevant (For data management purposes) |
|_8|_8| |
Code 88 (irrelevant). The purpose of this item is to reserve fixed columns for the key items in all data transfer formats. This is a key item in the event data formats, but irrelevant for the other data transfer formats.
| 8 | MBIRTH | Month and year of birth (month, year) | |__|__||__|__|__|__| |
The first two columns are for the month; code 01 - 12, or code 99 if the month is not known. Enter the year of birth, in full four characters, in the last four columns. If the year of birth is not known, which should be very rare, derive the year of birth from an estimate of the age.
| 9 | SEX | Sex 1 = male 2 = female | |__| |
See MONICA Manual, Part III, Form 04, version 7, Item 11
| 10 | DEXAM | Date of examination (day, month, year) | |__|__||__|__||__|__|__|__| |
See MONICA Manual, Part III, Form 04, version 7, Item 8. Note, however, that unlike in the MONICA data transfer format, the year should be given in full four characters.
| 11 | EAGE | Age on the date of examination | |__|__| |
Age of the subject on the date of examination. If the day of birth or the day of examination (DEXAM) is missing, but the month and year are available, interpret the day as 15 when you calculate EAGE. If the month of birth or the month of examination (DEXAM) is not available, but the year is available, interpret the day and month as 30 June.
| 12 | MONSER | MONICA serial number 888888 = the number is identical with SERIAL 999999 = the subject was not reported in MONICA or the number is not available |
|__|__|__|__|__|__| |
If the subject was examined in the MONICA Project, enter here the MONICA
survey serial number under which data were submitted to the MONICA Data Centre.
The purpose of this item is to facilitate a comparison with the MONICA data for
clarification of possible inconsistencies.
Code 888888 if the same serial number was already reported in item SERIAL.
Code 999999 if the subject was not examined in MONICA or if the serial number is
not easily available.
